We are pleased to announce that the ACM International Conference on AI in Finance (ICAIF) is inviting proposals to host the 2025 and 2026 conferences. As the premier venue for presenting cutting-edge research at the intersection of artificial intelligence and finance, ICAIF brings together 500-700 researchers, practitioners, and policymakers from around the world. We encourage bids from various cities and countries to continue expanding the conference’s global impact. The conferences are preferred to be held in October or November of each year and will include plenary sessions, workshops, poster sessions, keynotes, and social events.
Preliminary bids should be submitted by November 8, 2024, and should not exceed five pages. They should include a statement explaining how your team and venue meet the conference goals and requirements, along with a preliminary budget estimate covering venue charges, accommodations, and other expenses. Background
The ACM International Conference on AI in Finance (ICAIF) has become the premier venue for presenting leading research at the intersection of artificial intelligence and finance. Currently in the 5th year of running, ICAIF brings together researchers, practitioners, and policymakers from around the world to discuss the latest advancements and applications of AI in the financial industry. Past ICAIF conferences have been held in New York City, USA, making a significant impact on the AI and finance communities. We encourage applications to propose other cities and countries.
Call for Preliminary Bids
We are inviting proposals for hosting ICAIF in 2025 and 2026. The selected hosts will be
responsible for local arrangements and will work closely with the ICAIF executive steering
committee to ensure the success of the conference.
Constraints on Timing and Size
- Preferred Timing: October or November 2025 and 2026
- Expected Attendance: 500-700 participants
- Plenary Sessions: Large hall to accommodate all attendees
- Conference Components:
- Main conference program: 2-3 days, including 3 parallel tracks
- Pre-conference workshops: 1-2 days, including 3 parallel tracks
- Poster sessions, keynotes, parallel sessions, social events, and exhibitions
Preliminary Bid Content, Deadline and Purpose
Proposers are invited to submit preliminary bids that will be considered by the review committee at the upcoming conference. If possible, proponents should plan to attend the conference so they can meet with the review committee to discuss their bid.
Preliminary bids should be submitted no later than November 8th and consist of no more than 5 pages, and should include a short statement explaining why your team and venue meet the goals of the conference and desired venue requirements listed below.
Due to the compressed timeline, the review committee will consider preliminary bids lacking
some details.
Please include a preliminary budget spreadsheet that includes estimates of the following
expenses:
- Conference venue charges
- Food and drink charges (coffee breaks, lunches, receptions, banquets) for up to 400
- attendees
- Typical hotel and student housing costs
- Typical Audio Visual (AV) costs if not included in the conference venue charges
- All prices should be expressed in US dollars, including the exchange rate used for
- conversion
Proposers may request an example spreadsheet from a past event.
The preliminary bid document should not exceed 5 pages and must include the proposed
organizing team profiles with full contact details. The bid should be led by an active researcher in AI and finance, who should be available to respond to clarification requests during the review process.
Preliminary Bid Consideration Process
The review committee will consider all preliminary bids submitted by the deadline. Proponents of qualifying preliminary bids will be invited to submit full proposals in early 2025.
Criteria for Assessing ICAIF Bids
Organizing team:
- Adequacy of physically present team members (in addition to any virtually available organizers)
Site Location:
- Attractiveness to attendees and their companions
- Nearby attractions, tours, and restaurants
- Appeal for attendees
Transportation:
- Accessibility via major international airports
- Local transportation options (trains, buses, automobiles)
- Visa requirements and procedures
Affordability:
- Potential to offer affordable registration fees
- Cost minimization measures
- Estimate of regular and student registration fees
Dates:
- Consideration of local holidays, events, or conferences
- Avoidance of conflicts with major events
Climate and Season:
- Weather conditions during the proposed conference dates
- Availability of rooms and rate structure
Facilities:
- Meeting rooms, support services, and exhibition halls
- Co-location of meeting facilities and accommodations
- Preliminary space and equipment rental fees
Support for Online Attendance:
- Plans for virtual components and attendance support
Accommodation:
- Range of accommodation options (business hotels to student housing)
- Approximate figures for room rates
Experience:
- Local organizers’ experience with similar-sized events
- Use of a professional conference organization company
Supportive Scientific Community:
- Presence of local research communities in AI and finance
- Synergistic co-located conferences
Backing of Host Institution:
- Institutional support for the conference
- Availability of free or low-cost facilities and equipment
Supportive Local Industry:
- Potential industry support and local industry participant estimates
- Sponsorship opportunities
Supportive Local Government:
